The terms of using StudioHelp services.

Please read these Terms and Conditions carefully before engaging StudioHelp LLC for any services. By submitting an inquiry, signing a proposal, making a payment, or using our services, you agree to be bound by these terms.

1. About StudioHelp

StudioHelp LLC (“StudioHelp,” “we,” “us,” or “our”) is an AV consulting, integration, installation, and training company based in Fort Wayne, Indiana. We serve musicians, podcasters, churches, content creators, and corporate clients. Our website is located at studiohelp.us.

2. Services

StudioHelp offers the following categories of services:

  • Consulting: assessment, planning, and advisory services related to audio/visual systems and workflows.
  • Installation: physical setup, integration, and configuration of AV equipment at client locations.
  • Training: instruction and professional development for individuals and teams on AV systems, software, and workflows.
  • Subscriptions: ongoing support plans providing access to StudioHelp resources, priority scheduling, and other benefits as described in the applicable plan at time of purchase.

The specific scope, deliverables, and pricing for each engagement will be outlined in a proposal or agreement provided prior to work beginning.

3. Payment Terms

Payment is due as specified in your proposal or invoice. StudioHelp currently charges $100 per hour for time-and-materials engagements unless a fixed project rate has been agreed upon in writing.

Invoices not paid within 30 days of the due date are subject to a late fee of 1.5% per month on the outstanding balance. StudioHelp reserves the right to pause or suspend services on accounts with outstanding balances past 30 days.

For larger projects, a deposit may be required before work begins. Deposit amounts and terms will be specified in the project proposal.

Subscription plans are billed on a recurring basis as described at the time of purchase. Failure to maintain a current payment method may result in suspension of subscription benefits.

4. Cancellation and Rescheduling

Consulting and training appointments canceled or rescheduled with less than 48 hours notice may be subject to a cancellation fee equal to one hour of the applicable service rate.

For multi-day installations or projects requiring travel, cancellations made less than 7 days before the scheduled start date may be subject to a fee covering non-recoverable travel and preparation costs. The specific amount will be outlined in the project proposal.

Subscription plans may be canceled at any time. Cancellations take effect at the end of the current billing period. We do not offer prorated refunds for partial subscription periods.

StudioHelp reserves the right to reschedule appointments due to illness, equipment delays, or circumstances beyond our control. We will provide as much advance notice as possible in such cases.

5. Limitation of Liability for Equipment

StudioHelp takes care in handling all client and third-party equipment during consultations, installations, and training. However, StudioHelp is not responsible for pre-existing equipment faults, damage caused by equipment that was not properly disclosed as fragile or defective, or compatibility issues arising from equipment or software chosen by the client.

In no event shall StudioHelp’s total liability for any claim arising out of or related to a service engagement exceed the total amount paid by the client for that specific engagement.

StudioHelp is not liable for indirect, incidental, consequential, or punitive damages of any kind, including but not limited to lost revenue, lost data, or business interruption.

6. Client Responsibilities

Clients are responsible for ensuring that the project site is accessible, safe, and ready for work on the agreed service date. This includes providing adequate power, internet access where required, and any necessary access credentials or permissions.

Delays caused by client unpreparedness may result in additional charges billed at the applicable hourly rate.

7. Intellectual Property

Any training materials, documentation, templates, or deliverables created by StudioHelp and provided to the client are licensed for that client’s internal use only. They may not be resold, redistributed, or sublicensed without written permission from StudioHelp.

8. Confidentiality

StudioHelp will treat all non-public information shared by clients as confidential and will not disclose it to third parties except as required to perform the agreed services or as required by law.

9. Session Recordings

9.1 We record remote sessions. Remote sessions conducted over Zoom or similar tools are recorded by default. You will see a recording notification within the meeting when recording begins. By joining a recorded session and continuing to participate after that notification appears, you and any other participants you invite consent to being recorded.

9.2 You can decline. You may request that a session not be recorded at any time before or during the session, and we will comply. Tell us in advance where possible so we can configure the session accordingly. If your session may include anyone under 18 on camera, tell us before booking, and we will not record without your explicit written consent.

9.3 Telling your people. If you invite additional participants to a session, you are responsible for making them aware that the session is recorded before they join.

9.4 What we do with recordings. Recordings are made so that you have a reference for the work we covered, and we share the recording with you after the session. For sessions on or after August 5, 2026, we retain recordings for 365 days from the date of the session, after which they are deleted. Recordings made before that date are held on our previous video platform; we are migrating them and will notify affected customers directly about the timing. We do not publish recordings, sell them, use them for marketing, or share them with anyone outside StudioHelp without your written permission.

9.5 Your material stays yours. A recording may capture your audio, your projects, your screen, and your intellectual property. Nothing in a recording transfers any ownership to us. Recordings are treated as your confidential information under Section 8.

9.6 Recordings are a courtesy, not a deliverable. Session recordings are provided at no additional charge and are not a contracted deliverable of any service engagement. Recording depends on software, hardware, and network conditions outside our control, and occasionally a recording will be incomplete, corrupted, inaudible, or absent. We do not warrant that any given session will be recorded or that a recording will be usable, and we recommend you download and retain your own copy of any recording you wish to keep. Where a recording fails, StudioHelp will make a reasonable effort to provide comparable value, which may include a complimentary review session covering the same material, at our discretion. Our total liability in connection with any recording is limited to the amount paid for the session in question.

9.7 Deletion on request. You may ask us to delete any or all of your recordings at any time, and we will do so.

9.8 On-site work. On-site sessions are not recorded and no recording is provided.

10. Governing Law

These Terms and Conditions are governed by the laws of the State of Indiana. Any disputes arising out of or related to these terms or our services shall be resolved in the appropriate courts of Allen County, Indiana.

11. Changes to These Terms

StudioHelp reserves the right to update these Terms and Conditions at any time. Changes will be posted at studiohelp.us and will take effect on the date posted. Continued use of our services after any update constitutes acceptance of the revised terms.
