How StudioHelp handles your information.

StudioHelp LLC (“StudioHelp,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and protect information you provide when you contact us through our website at studiohelp.us or otherwise engage with our services.
1. Information We Collect
Information you give us. When you contact us or submit any form on our website (including our contact, referral, and retail-partner forms), or work with us directly, we may collect your name, phone number, email address, company or organization, details about your project or inquiry, and any other information you choose to share.
Information about other people you provide. If you refer someone to us, you may give us that person’s name and contact details. By submitting it, you confirm you have their permission to share it, and we use it only to reach out to them about StudioHelp.
Session recordings. Remote sessions conducted over Zoom or similar tools are recorded by default. A recording may include your voice, your video if your camera is on, the contents of any screen you share, and the voices and video of anyone else you invite to the session. See “Session Recordings” below.
Information collected automatically. When you visit our website, we and our analytics provider may automatically collect limited technical information, such as your IP address, browser type, the pages you view, and the site you came from, using cookies and similar technologies. See “Analytics and Cookies” below.
2. How We Use Your Information
We use the information we collect to respond to your inquiry or request, schedule and confirm consultations, installations, or service visits, send project updates and follow-up communications, send text messages if you have provided explicit consent, provide you with a recording of your session, maintain records for billing and accounting purposes, and improve our services.
3. Analytics and Cookies
We use Google Analytics to understand how visitors use our site so we can improve it. Google Analytics sets cookies and collects usage information such as pages viewed and general location. We do not use this information to identify you personally. You can opt out with Google’s browser add-on or through your browser’s cookie controls.
4. Text Message Communications (SMS)
If you check the SMS consent box on our contact form, you agree to receive text messages from StudioHelp related to your inquiry, appointments, and project updates. Consent to receive text messages is not required to use our services.
Standard message and data rates may apply. You may opt out at any time by replying STOP to any text message from us. For help, reply HELP or contact us at info@studiohelp.us. We do not share your phone number or SMS consent with third parties for their own marketing purposes.
5. Third-Party Service Providers
We use trusted third-party tools to run our website and business. These providers may process your information on our behalf, only to perform services for us, and are expected to protect it:
- Website hosting and platform: GoDaddy and WordPress host our site and store form submissions in our website database.
- Email delivery: SendGrid, to send and receive email about your inquiry.
- Workflow automation: Zapier, which routes form submissions to the tools below and to a backup record.
- Customer records: Pipedrive, our customer relationship management system.
- Team notifications: Slack, so our team is alerted to new inquiries.
- Text messaging: Twilio, for SMS you have consented to receive.
- Scheduling: Cal.com, for booking consultations and sessions.
- Video sessions and recording: Zoom, which hosts remote sessions and stores recordings until we transfer them.
- Video hosting: Cloudflare, where session recordings are stored and played back. Recordings are private and are not listed or searchable.
- Previous video hosting: YouTube, where recordings made before the effective date of this policy are stored as unlisted videos. We are moving these to Cloudflare and will notify affected customers directly.
- Payments: Stripe, for subscriptions and payments. Stripe processes card details directly; we do not store them.
- Gift cards: GiftUp, for gift card purchases.
- Analytics: Google Analytics, as described above.
- Accounting: QuickBooks, for invoicing and records.
We do not sell your information to any third party.
6. Data Sharing
We do not sell, rent, or trade your personal information. We do not share your information with third parties except as described in this policy or as required by law.
7. Data Retention
We retain your information for as long as necessary to fulfill the purposes described in this policy, maintain our business records, and comply with legal obligations. You may request deletion of your information at any time by contacting us. Session recordings are retained on the separate schedule described below.
8. Session Recordings
What we record. Remote sessions over Zoom or similar tools are recorded by default so that you have a reference for the work we covered. You will see a recording notification within the meeting when recording begins. On-site sessions are not recorded.
You can decline. You may ask us not to record a session at any time before or during it, and we will comply. If a session may include anyone under 18 on camera, tell us before booking and we will not record without your explicit written consent.
Who can see a recording. Your recordings are accessible to you and to StudioHelp staff. They are stored privately with our video hosting provider and are not publicly listed or searchable. We do not publish recordings, sell them, use them for marketing, or share them with anyone outside StudioHelp without your written permission.
How long we keep them. For sessions on or after the effective date of this policy, we retain recordings for 365 days from the date of the session, after which they are deleted. Recordings made before that date are held on our previous video platform; we are migrating them and will notify affected customers directly about the timing.
Your material remains yours. A recording may capture your audio, your projects, your screen, and your intellectual property. Nothing in a recording transfers any ownership to us, and recordings are treated as your confidential information.
Deletion on request. You may ask us to delete any or all of your recordings at any time, and we will do so.
Keeping your own copy. Recordings are provided as a courtesy and are not guaranteed. We recommend you download and keep your own copy of any recording that matters to you. Our full position on this is set out in our Terms.
9. Your Rights
You have the right to request access to the personal information we hold about you, request correction of inaccurate information, request deletion of your information, and opt out of SMS communications at any time by replying STOP. To exercise any of these rights, contact us using the information below.
10. Security
We take reasonable precautions to protect your information from unauthorized access, use, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children’s Privacy
Our services are not directed to individuals under the age of 13. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. We encourage you to review this policy periodically.
